Virtual meetings are becoming more popular in the sense that they reduce time and cost by reducing travel costs or allow board members more flexibility, or boost communication. Virtual meetings are beneficial in many ways however, there are some pitfalls. A well-prepared and executed virtual meeting can be as effective as a live one However, it’s important to keep in mind certain points to consider when planning and hosting these types of events.

Make sure everyone is equipped with the proper equipment and software. It can be difficult to keep the entire board engaged when there are technical issues which prevent people from communicating with one another or watching presentations, or even using their cameras. It’s a good idea give all attendees detailed instructions on how to check their cameras, microphones, and speakers prior to the meeting begins to eliminate these problems.

Create an agenda prior to the meeting to keep the discussion on track. Boards can get entangled in conversational side-bars if you don’t have a schedule to guide the meeting. Make sure that all topics are covered in the time allotted to avoid attendees feeling that they did nothing or that their time was wasted.

The camaraderie, conversations and camaraderie that take place in person board meetings are hard to replicate online.
